When you book a trip with LainEdita LLC, you secure your spot with a deposit, typically 30% of the total cost, unless otherwise specified. This deposit confirms your reservation and allows us to arrange exclusive services, such as private guides, accommodations, and special access. The remaining balance is due 60 days before your departure date. All payments are processed securely, and we’ll provide clear invoices detailing your booking.

2. Cancellation by You

We understand life can be unpredictable. If you need to cancel your trip, the refund amount depends on when you notify us:

More than 90 days before departure: Full refund of your deposit, minus a $500 non-refundable administrative fee per person to cover processing and partner commitments.

60–90 days before departure: 50% of your deposit is refundable, as we may have secured non-refundable services like local guides or permits.

Less than 60 days before departure: Deposits and payments are non-refundable due to commitments with our partners, such as accommodations or transport providers.

3. Modifications to Your Booking

If you wish to modify your travel dates, group size, or other details, we’ll do our best to accommodate:

More than 90 days before departure: Modifications are subject to availability and may incur a $200 change fee per person.

60–90 days before departure: Changes depend on partner availability and may incur additional costs, such as new permits or lodging fees.

Less than 60 days before departure: Modifications are unlikely, as most arrangements are finalized, but we’ll explore options where possible.

Contact us as soon as possible to discuss changes. We’ll confirm any additional costs or feasibility within 5 business days.

4. Cancellation by LainEdita LLC

In rare cases, we may need to cancel a trip due to unforeseen circumstances, such as safety concerns, natural events, or insufficient bookings (though our private tours make this unlikely). If we cancel:

You’ll receive a full refund of all payments, including deposits, within 14 days.

We’ll offer alternative travel dates or destinations, if feasible, at no extra cost.

We’re not responsible for additional expenses, like non-refundable flights or personal arrangements, but we’ll assist with rescheduling where possible.

We’ll notify you promptly via email or phone if a cancellation occurs and work to minimize disruption.

5. Travel Insurance Recommendation

We strongly recommend purchasing comprehensive travel insurance to protect against unexpected events, such as medical emergencies, trip cancellations, or lost luggage. Your policy should cover trip interruptions, cancellations, and activities specific to your itinerary. We can provide recommendations for trusted insurance providers upon request, but we don’t endorse specific companies.

6. Force Majeure

If events beyond our control—such as natural disasters, political unrest, pandemics, or extreme weather—prevent your trip, we’ll work to reschedule your journey at no additional cost where possible. If rescheduling isn’t feasible, we’ll issue a credit for future travel, valid for 24 months, minus any non-recoverable costs (e.g., permits or deposits paid to local partners). Refunds in these cases are limited, as we prioritize rebooking to honor your experience.

7. Partial Participation or Early Departure

If you choose to skip parts of your itinerary or leave a trip early, no refunds or credits will be issued for unused services, such as meals, activities, or accommodations. These arrangements are prepaid and non-transferable due to our commitments with local partners. Please let us know in advance if you anticipate changes, and we’ll try to adjust where possible.

8. Special Requests and Customizations

For customized trips or special requests (e.g., dietary needs, accessibility accommodations), we’ll confirm feasibility at booking. If these arrangements incur non-refundable costs and you cancel, those costs may not be refunded, even if cancellation falls within the refundable period. We’ll provide a detailed breakdown of any such costs during planning.
